If you use an advertising agency or prepare your ads in-house, here are some tips on sending us your materials and the services we offer to make the process as easy as possible. To maintain the quality of your ad, please review and follow the requested information below.

Preparing Your Advertising
Page Measurements
- Ads more than 19 inches in length will be charged as 21.5 inches.
- Full page broadsheet: 6 Col. (10") x 21.5"
- Full page in a 6-column tabloid: 6 Col. (10") x 10" (Gulf Coasting, Tropicalia)
- Full page in an 10-column tabloid: 10 Col. (10") x 10" (Homeseeker, Waves, Careers, some special sections.)
The News-Press is proud to present AdTracker Online (ATOL), the newest, most convenient way to submit your ad as a PDF file for publication.
The News-Press is always looking for new ways to make things easier for our customers, and ATOL uses the latest internet technology to make submitting your ads quick and simple. ATOL ensures that your ad gets delivered to the right department and into the right hands.

Always include:
- Account name, Advertising salesperson, your phone number and email address.
- A copy of the ad sent in by email or on a disk, and a faxed copy of your ad.
- The ad in your document is the exact size of the ad you ordered.
- Your ad has been proof-read for typographical and grammatical errors.
Media Types Accepted:
- ZIP IOMEGA 100MB, CD and DVD
PDF elements accepted:
- CMYK Color photos
- Grayscale photos
- Bitmap line art
NOTE:If a PDF file is being exported from applications other than Distiller, please CONSIDER the correct elements needed to output the quality of your ad correctly.
Brief Explanation:
- EPSs (CMYK), TIFF Line Art and Gray Scale images.
- Prefer Type 1 Fonts (True Type Fonts not acceptable)
PDF File Checklist
- Acrobat Distiller was set up properly. (See Below)
- Your ad was distilled with all fonts embedded.
- All color images are CMYK.
- At this time, do not use any compression options within Distiller.
- Do not use Adobe PageMaker's PDFWriter to create a PDF file.
- Do not use the InDesign PDF Export option to create a PDF file.
Creating A PDF File From InDesign:
Please use The News-Press PDF Style file to
import into InDesign.
After launching InDesign, under the File menu Import a PDF Style.
How to download:
PC: Right-click link above and choose Save Target As.
Macintosh: Click and hold down until menu appears. Choose Save As.
- Under the File/menu select Define PDF Styles.
- Select the Import option and locate the file NewsPressPDFStyles.sit that you have just downloaded. Click OK.
- Open up the InDesign file that you will be creating a PDF file on.
- Under the File/menu select the Export option and name the file.
- The file format type should be Prepress File. Click OK.
- This file should be used to create a PDF file using Distiller.
Creating PDF Files:
Portable Document Format (PDF) PDF is the new standard for electronic
distribution of documents and is also our file format.
NOTE: The latest versions of many desktop publishing programs allow you to create a PDF file from within the application. The settings for the "distilled" file such as PageMaker, may not be compatible with our pagination system. Avoid having an incompatible PDF by saving a PostScript file from your program, then distill the PostScript through Acrobat Distiller Program using the settings provided on this site.
Distilling the PostScript File
It is important to set up Adobe Acrobat Distiller's Job Options before creating
PDF documents.
NOTE: This Distiller setting is to be used for The News-Press ONLY.
Download our Distiller file.
(This file can be used for a Macintosh and PC Distiller program versions 3, 4
and 5.)
Before you distill an ad for The News-Press, first quit out of your Distiller program. Download our Distiller setting file and place this file in your Adobe Acrobat folder/Distiller folder and in the Settings folder.
How to download:
PC:Right-click the link below and choose Save Target As.
Macintosh:Click the link and hold down until menu appears. Choose Save
As.

- Launch Distiller, click and drag to The News-Press.ADV Job Option.
- Drag your created Postscript file to the Distiller window.
- Or simply do a File-Open within Distiller and locate your postscript file and click Open.
- Distiller displays a Save dialog box for the PDF file it will create.
- Check the messages window to ensure the PDF was created successfully without errors.
- Open up and view your PDF and check it before you send it to The News-Press.
File Format Guidelines
- GRAPHICS (Scanned-in art or CD file formats)
- CMYK Color photos
- Grayscale photos
- Bitmap line art
Brief Explanation:
- All art must be saved as CMYK for color art, Grayscale for halftone photos, Bitmap for line art.
- After scanning an image, most scanners default to RBG Mode. Please convert that image to a CMYK image.
- Some CD art maybe be RGB. Please convert all images to a CMYK image.
- Photoshop EPS documents: Encoding must be Binary and Preview must be Macintosh (8 bits/pixel). Click here for details.
Printed Black & White Images To Be Scanned In Again For Reproduction:
We cannot accept:
- Images that have been printed out on paper and are required to be scanned in again.
- A photo copy of a picture.
(The result will produce unacceptably poor quality for both the newsprint and online).
Images accepted:
Black & White
If your ad is black & white
- All line art is bitmap and photos are grayscale
Photo highlights accepted:
- B&W Halftones, resolution 200DPI (Highlight 3%, Shadow 90%)
- Bitmap for line art, resolution 600 DPI (Highlight 3%, Shadow 90%)
- All the above information should be done in B&W ONLY.
Total ink coverage accepted:
- Recommended total ink coverage is 200.
Color Ads
If your ad is color:
- All elements such as photos, logos and text should be done in CMYK.
- Color photos, resolution 200DPI (Highlight 3%, Shadow 90%)
- Color used in the ad is the color ordered by the Sales Representative.
- All the above should be done in CMYK ONLY.
- Recommended total ink coverage is 200.
Customizing Color Management Settings In Photoshop:
Download our Photoshop color setting file that can ONLY be used for The News-Press.
Although the predefined settings should provide sufficient color management for many publishing workflows, you may sometimes want to customize individual options in a configuration. For example, you might want to change the CMYK working space to a profile that matches the proofing system used by your operation.
It's important to save your custom configurations so that you can reuse and share them with other users and Adobe applications that use the same color management settings. The color management settings that you customize in the Color Settings dialog box have an associated preferences file called Color Settings.csf, found in the Adobe Photoshop's Settings folder.
The News-Press has provided to our advertising customers, helpful tips to ensure proper direction in creating your ads from start to finish and receiving the quality you are looking for in the finished product. The information provided here will help you obtain the correct Color Settings in Adobe Photoshop versions 4, 5, 6 & 7 to reproduce your ad on newsprint here at The News-Press. The Color Settings that are available to you as our customer are for newsprint only. We strongly recommend that you do not use these numbers for high-end commercial printed materials.
To Customize Your Color Management
Settings:
After downloading the Color Settings that we provided for you, please follow
these steps to load these settings correctly in Adobe Photoshop. Click here to
download the color settings file. Place this file in an area where you can
import it into Photoshop.
NOTE: After downloading, you might want to rename this file to your company name.
Choose Edit > Color Settings.
- The Color Settings menu will be displayed on your monitor. Click the LOAD button.
- You will then see a second menu appear. Locate your color settings file you just downloaded and select it.
- Or in that same menu, you can click the FIND button at the bottom of the displayed menu. This will help you locate the Color Settings you have just downloaded. Unless you have renamed the Color Settings file, you will look for and select NP Photoshop 6 (902). Once you have located and selected this item, click the LOAD button at the bottom right side of the menu displayed. Once you have clicked this button, you have taken the final step to loading the selected Color Settings for The News-Press.
Please note that the settings you have loaded have been established through a step-by-step process to assure our customers the best possible quality here at The News-Press. These settings are recommended for newsprint only.

- Freehand 9 and 10
- Multi-Ad Creator 7
- InDesign CS3
Program Elements Accepted:
- EPSs - CMYK, TIFF Line Art and Gray Scale images.
- Exported EPS images - Please send us your fonts and images used in your ad.
- For Multi-Ad Creator 7 - EPS (CMYK images), TIFF line art.

The News-Press Media Group's ATOL offers you the ability to upload, view or modify your ads online. You no longer have to wait to view your advertising proof via fax and email . Once the ad is created, you will be able to immediately view the ad in proof from online.
